Direct Mailing Functions

There is no doubt that the Direct Mail System in the Wireless Marketing Wizard is the easiest and most cost effective way to generate more income for your wireless business. Direct Mailings offered by the Wireless Marketing Wizard are priced using group rate / high quantities even when you are mailing to low quantities. There is no charge for layout and graphic design, only a small processing fee. The procedure to perform mailings is simple and completely automated. All costs are shown to you before you submit your order. WMW will collect and prepare data and forward your order to a large direct mail house. The result is the highest quality printing on professionally designed mailer at unbeatable prices. If a customer responds to the mailing and upgrades, simply perform a lookup in WMW and any new contract dates are updated automatically. Future mailing schedules are based on the new contract data.

Perform Direct Mail Procedure

All the functions below are performed for you when you run the Direct Mail Wizard. WMW will extract customers, verify addresses, calculate and display costs for your approval, and send data to the mail house. In addition, if the database is missing a zip code or address, WMW will re-lookup the account and update your database. This may happen often with old CellRam data as it may not have complete address information. As you use the system, it will no longer be required as your database is updated during the process.

 

To begin, click the WMW Logo in the Action Menu (lower right). WMW will detect if it is time to perform a mailing or not and display either the Marketing List or Direct Mail Menu. If the Market List Menu appears, click the “Direct Mail Menu” button access Direct Mail Functions.

Generate Direct Mail List

WMW automatically calculates the proper extraction date range based on when you last performed a mailing. We recommend that you perform mailings each month so they are received at the best time for each account. This offers the best opportunity to increase sales response to mailings. WMW will not skip or duplicate mailings to customers. Duplicate records are always removed so you will never send the same mailing to the same person at the same time. By default, WMW automatically sets data extraction date ranges to include contracts that are eligible for upgrades during the following month. For the Upgrade Mailer, you have until the 17th of the current month to process mailings for the following month. However, you may process a mailing request at any time.

Default Direct Mail List

To include all customers in a mailing click the 2 check boxes as show below and click "Continue Mailing".

In most cases you should leave the settings that appear automatically. WMW sets options for you based on when the last mailing was perfromed. WMW will search through customer records and include accounts that match any of the following guidelines

  1. Customers with One year contract that are in the 12th month.
  2. Customers with a Two year contract that are in the 15th month
  3. Customers with a Two year contract that are in the 18th month
  4. Customers with a Two year contract that are in the 21st month
  5. Customers with Two year contract that are in the 24th month.

 

During the FIRST MAILING: WMW also ALSO INCLUDES

Accounts with a One year contract that have expired in the last 5 months.

Accounts with a Two year contract that are in the 13th to 14th month.

Accounts with a 2 year contract that have expired in the last 6 months.

Contract End Date Group List

You may add accounts that have expired contracts to any mailing. Simply check the “Contract End Date Range” Check Box and select a Calendar date range to include.

Process Mailing Request

In most cases, no settings changes are required in the Direct Mail Preparation Menu above. Click the Continue Mailing Button. WMW will search for and extract target customers from the database. Before the search begins, WMW will make sure the INC web site is available and login if required. During the extract procedure, WMW check the address and zip code of each target customer record. If any of the addresses seem too short or a zip seems incorrect, WMW will lookup the account to obtain updated information. If you have been using CellRam for a while, this may happen for many of the older accounts and it may take awhile. As you use the mailing feature, this function will no longer be required as WMW updates your database with any new information.

 

After data extraction is completed, the Mailer select List will appear. This will soon be replaced with more options to control mailer content in future WMW versions.


This list will change as available mailer options change. The first item is for the default monthly Upgrade Mailer.

The second Item is for a Holiday mailer available only until 12/7/2006. It will be delivered by 12/15/2006.

 

Choose the desired mailer and click Select. WMW will calculate fees and display the Submit option.

 

Click Submit and WMW will connect to the WMW server and request  your customer data for display in the final screen. It will verify your account information and status. Please read any information in the final screen. Many of these mailings may be eligible for coop funds.

POS Functions in WMW

The POS Wizard button in the lower right corner is a Sales Tool that will extract unit Rebate Information for multiple units on an account automatically. The wizard will display a list of unit PTNs on the account and will also obtain Rebate, Upgrade, and Discount information for each unit. You may click the wizard if any two of the fields in the Account Search section contain data. This can be done after or before performing a normal lookup or before or after repair procedures are completed. We recommend that you add additional licenses for CellRam/WMW in any computers used for account lookups as this system will be helpful to your sales staff and will collect additional customer data for future marketing and mailings.

Multiple Unit Lookup

After you click the Wizard, WMW will lookup the current unit account and check the quantity of units on the account. If there are over 10 units, the Lookup Controls dialog shown below will appear.

On the left side, a list of area codes in the account is displayed that allows you to limit the lookup to a specific area code. The Spinner allows you to control how many units are included in lookup function. When the dialog first appears, the spinner contains a number (16 shown above) equal to the units on the account. You can reduce the number if you wish. If you select an area code from the list, the Wizard will count the units with the area code selected and modify the number in the spinner to show you how many units have the selected area code. Once you have selected desired options click the 'Lookup Wizard" button and WMW will extract unit information including Rebate, Hybrid, and Discount Status information for display. Due to site timeouts, you have 5 minutes to select options and click the Lookup Wizard button. If this dialog is left up for 5 minutes, WMW will time out and lookup the first 10 units and display results.

ALL the units that are looked up by CellRam and the Wireless Marketing Wizard are added to your database for future market lists and mailings. When lookups are competed, the Action Menu will re-appear with Voucher / Repair Section changed as shown below.

Two new boxes appear in the Repair Section of the Action Menu. At left, there is a list of extracted unit PTN’s. Click on a PTN to see specific information in the field to its right. This data includes Contract Start and End Dates, Rebate Eligibility Dates, Hybrid Treatment Status, and available Discount information.

The Print Repair Ticket button changes to “Print WMW:” and its color changes to Black and Green. Click this button to print a complete list of unit rebate information.

If a selected unit is eligible for rebates, the text and color of the results field will change as shown below. You may click the first PTN and use the DOWN key on your keyboard to quickly see how many units are eligible for rebates.

The name of the View Claim button changes to "Repair Functions" when the wizard data is displayed. Click "Repair Functions" to display CellRam repair fields and functions and hide wizard data. Click the Rebate Info Wizard button in the liower right corner to re-display Wizard Rebate data. You can toggle back and forth using these buttons

Recall History Functions

CellRam now Recalls at least a 31 days of tranactions. This is usefull for both Sales and Repair departments.

Click the Recall button and Todays’ list will appear instantly as show below.

There are many functions available at the bottom of the screen as follows:
Cancel” – Returns to the Action Menu
Display Only” Extracts PTN, SIM/DEC, IMEI and returns to the Action Menu.
The “Days Ago” Spinner allows you to easily display lists from previous days. Up to 30 business days back. You can use the Mouse Wheel, click the Spinner arrows, or use the up and down arrow keys to switch days. All lookups are now recorded  - previously on when an IMEI was included would CellRam record for the recall list. In addition Duplicate transaction on the same PTN are recorded and the display function displays the most recent for each PTN.

The “Rebate Wizard” perfrorms a Rebate analysis on the account. $$. See POS Functions in WMW    6 for detailed infomration
“Account Lookup Only” performs and account lookup and disdplays lookuop results in the web iste.
Prepare for Submission” performs all web functions to prepare for submission of repair claims and shippments.

Telemarketing Functions in WMW

 

To begin, click the WMW Logo in the Action Menu (lower right). WMW will detect if it is time to perform a mailing or not and display either the Marketing List or Direct Mail Menu. If the Direct Mail Menu appears (perform it and make$$!), you can click the “Market List Menu” button access Market List Functions.

We recommend that you perform mailings once a month. And if you have the staff, work the market lists during the month. These two functions can easily double the upgrades performed in each of your locations!$!

Generate Telemarketing Lists

The Wireless Marketing Wizard extracts data from your database and generates customer lists.  There are 3 search functions that control the content of lists that WMW can generate. You should Generate Market lists ONLY ONCE per Month and work these lists during the month.

List Types

We recommend that you generate lists each month, send mailings (see below) and work the lists during the month. This section explains how to generate marketing lists. See List processing section below for information on using these lists and the functions available in the WMW Telemarketing Screen.

Tier One

In the WMW Menu, select the “Tier One” option and click “Generate List.” The Tier One search option locates all accounts with contracts that are in the 12th month of a 1 year contract or are in the 13-16th month of a 2 year contract. A list of accounts is created and is displayed in the WMW Telemarketing List.

Tier Two

In the WMW Menu, select the “Tier Two” option and click “Generate List” The “Tier Two” search option locates all accounts with contracts that are in the last month of a 2 year contract or are out of contract. A list of accounts is created and is displayed in the WMW Telemarketing List.

Contract End Date List

When the WMW Menu first appears, the default search setting is “Contract End Date.” The “Contract End Date” function locates all accounts with contracts that expire between the start day and stop day set in fields shown below. These numbers calculate dates based on the day the list is generated. By default (0-30) WMW will search through customer records for accounts that have contracts that end within the next 30 days. The setting 0 = today and 30 = 30 days from today. You may change these numbers to generate different lists. You can go back 200 days and forward 40 days.

 

The default is 0 to 30. This setting will find accounts with contracts that end from 0 to 30 days from today. You can change these numbers to extract data based on different time periods.  Since you did not have the WMW during previous months, you can go back by using negative numbers.  Click the down arrow button next to the 0 in the Start Day field. Set it to -100 (minus 100). Set the Stop day number to 0 and click Generate list. This will generate a list of accounts that have contracts that have expired from 100 days ago up to today.

 

When you generate a Tier One, Tier Two, or Contract End Date list, the WMW will display accounts in the WMW Telemarketing screen. See the "Generate Telemarketing List" function below to extract your telemarketing lists.

Opening Existing Lists

In the WMW Menu or the WMW Telemarketing List, click “Open Market List.” WMW will display a list of stored files. File names tell you when they were created and what data they contain. You may open any list and switch lists as required. If you have multiple machines, lists are stored on the network share folder so all CellRam/ WMW machines can see the same data. You may use WMW on more than one machine at the same time but do not use the same list on more than one machine at the same time.

Working a Telemarketing List

After generation or when a saved Market List file is opened, the Telemarketing List will appear. There are two list fields in the left side. The top list displays account to call. The bottom list shows accounts that have been looked up / called. White blocks have been used in the image below to mask out actual customer data.

Functions in the Telemarketing List

There are two list boxes in this screen. The Top List stores accounts that have not yet been processed. An account is processed when you select it and click “Lookup Account.” Select an account in the top list and click the account lookup button. The Wizard will obtain the latest information and, if there are multiple units on the account, information on up to 20 lines will be extracted and added to your database. After the lookup function, the selected account will appear in the lower list. The field in the lower right will store notes when calling the customer. If any of the additional lines also fall into the report group, they will also appear in the lower list so you will know how many lines may be eligible for rebates based on the list being worked.

Click on an account in the list. See account details to the right of the selected account.  Under the PTN – you will see the quantity of “UNITS” on the account. Select an account that has MORE THAN 1 UNIT and click the “Lookup Account” button:

When you select an account and click "Lookup Account"

1.      WMW will lookup the account and update your database with the most recent account data.

2.      The selected account will be moved from the top list box to the bottom list box.

3.      During the lookup procedure, WMW will check to see if there are additional units on the account. If there are, data from up to 20 units is added to your database for future list creation. 

4.      If any of these additional units meet the search criteria for the current list, they will also appear in the lower list with the original Unit. This lets you know how many of the units on the account may be eligible for a rebate based on the search used for the current list. All additional units extracted are added to the main WMW database for future market lists and direct mail functions.

Click on a unit in the bottom list. You will see updated account information in the upper right and a new “Caller Notes” field appears in the lower right  You may type notes about calls in to this field and WMW will store caller notes for you that can be viewed at a later time.

As you lookup listed accounts, they are moved from the top list to the bottom list so the top list will be empty when all accounts are processed.  

Installation

Software installation is quick and simple. There are two different installations. The Data Storage Tool is for data collection, and Wireless Marketing Wizard is for marketing functions. No passwords are required. If you are a CellRam user, the storage tool is not required and WMW is included in CellRam functions. The Marketing Wizard is available for locations or machines that do not use CellRam.

Wireless Marketing Wizard - Telemarketing & Direct Mailing Software

The Wireless Marketing Wizard performs functions that allow you to access customer information in the WMW database. Telemarketing functions with auto-lookup, Reporting, and Direct Mail systems are included.

a.       Run the Wireless Marketing Wizard Installer in a machine or machines where you wish to extract data, call customers, and initiate direct mailing procedures. Link to installer: http://www.softsellinc.com/WMW_Installer.exe (Available on or before 11/30/06)

b.      To perform AUTO-LOGIN functions for lookups, enter required site login data into the fields in the Setup Screen. If no passwords are entered, you will be prompted by IE to login when required. This will only happen if you are not yet logged in or the site times out from non-use. If you do enter passwords, all logins are performed for you automatically.

c.       Click the “Set Storage Location” button to specify where data is stored. If you have more than a single machine running WMW and/or CellRam, they should all be set to store data in the same shared folder. This folder location can be on a server or a single machine on your network. All machines should be set to store their data in the same place. This is the same function as explained in the installations for the WMW Data Storage tool.

 Creating and Storing Database Data

There are multiple ways to save data into the WMW marketing database. BOTH CellRam and the WMW Data Storage Tool save to the database automatically when you perform account lookup procedures. WMW can also import data you already have or data you will collect from other sources. When WMW looks up an account, data from up to 20 units on the account is stored in your database.

Converting CellRam v2.1 Data

CellRam has been collecting your customer data for you. All stored database data is compressed and encrypted on your HD. We do not collect, store, or see any of this data. CellRam versions 2.1 and earlier stored this data in EACH machine. Later CellRam versions store it in the shared folder. CellRam up to version 2.2 stored data in a different way then version 2.2 and up. Later versions store it on your network so all machines save customer data to the same place.

In addition, address information for customers may not be complete in some of the older data. For this reason, we have included functions in WMW software that perform the following tasks automatically:

  1. Locates customer data from previous versions in each machine.
  2. Converts any old found data to the new format for WMW.
  3. Deletes old duplicate records
  4. Combines the converted data with the current Database
  5. Performs address and zip code verification on each record. If any addresses are incomplete, WMW will update the address information. This procedure can take awhile.

You should perform these procedures once in each machine running CellRam, most importantly, in any computers that had older versions of CellRam in them.

 

To perform this procedure:

  1. Click the WMW Logo in the lower right corner of the Action Menu.
  2. WMW automatically detects if it’s time to perform a mailing and displays the “Direct Mail Preparation” Menu. If this is what appears, click the “Telemarketing Menu” button on the left side of the screen. The ‘Market List Menu’ will appear.
  3.  In the “market List Menu,” Click the Convert Data button. CellRam/ WMW will perform procedures 1 through 5 listed above.

 

Once you have performed this procedure, your database is ready and WMW is ready to send mailings! This procedure need only be run ONCE on each machine. It will no longer be required in the future as WMW now saves data in the proper format.

 

How many machines are running CellRam in THIS LOCATION? If MORE THAN ONE:

Run this function once in each computer running CellRam Ask and make sure all computers that run CellRam or WMW are sharing the same data folder. If you have multiple computers running CellRam in THIS location, data should be stored in a shared folder so all CellRam machines can see it and save their data to the same database.
